The Role:

Public Sector Advisory (PSA) is recruiting a Grant Administrator for a full-time post. The post-holder will be accountable for providing a professional and comprehensive administrative, financial and project management services to a portfolio of grant funded projects. The role will assist with a range of activities associated with large grant awards, including but not exclusively, coordination, administration and audit of projects funded by European and National Funders including the European Commission, Interreg, Department of Agriculture, Food and the Marine (DAFM) and the Department of Further & Higher Education. The appointed Grant Administrator will be reporting directly to the PSA Management team and will work closely with project leaders and clients finance teams.

 

 Principal Duties and Responsibilities:  

The successful candidate will provide pre and post award support including financial, audit, project management and coordination assistance across a portfolio of projects as determined by PSA Management. The post-holder will have a proven track record of managing and prioritising a varied grant support workload and must show flexibility and adaptability whilst performing their duties.

The Grant Administrator will undertake duties and be accountable for tasks that will include, but are not restricted to, the following activities:

  • Work with other Project Coordinators and Principal Investigators to ensure project deadlines are achieved;
  • Liaise regularly on project financial related matters with the respective European or National funding body and maintain appropriate communication channels;
  • Compile and submit project financial reports in consultation with Project Leaders using relevant on-line systems/portals as required;
  • Accountable for tracking/reporting of projects including budgeting and financial progress reporting;
  • Build relationships with and interact with key stakeholders within the respective Finance Offices of the participant organisations to ensure accurate and timely reporting;
  • Liaise closely with the Principal Investigators, Finance offices and project teams to ensure appropriate allocation of budgets, accurate and correct spend, compliant and timely reporting;
  • Work to anticipate and resolve any financial or operational issues arising;
  • Provide appropriate advice and financial information and reporting to PSA Management relating to month end and grant administration;
  • Assist in the audit of EU and National Funding bodies audit requirements
  • Ensure full integration of new awards into Financial Reporting Systems;
  • Ensure PSA is compliant with both clients and Funding Agency Financial Procedures and regulations;
  • Other adhoc tasks as determined by PSA Management.

 

Qualifications, Skills and Experience Required:

The ideal candidate must have:

  • A relevant primary degree or equivalent and ideally three years relevant work experience in a similar role.
  • A project management or accounting qualification, would be advantageous
  • Experience in pre/post award financial management and co-ordination of EU funded projects is essential.
  • A proven track record in project management over a number of years, preferably in a higher education institute, research performing organisation or grant funding body.
  • Experience of working with grant management portals such as Smart-Simple, Sesame etc.
  • Excellent communication and social skills with strong adherence to delivering outstanding service.

The candidate will be well organised, display proficient ability to coordinate and progress the tasks associated with the post on their own initiative and contribute to the on-going development, refinement and coordination of the management process. The candidate must also possess the ability to work effectively as part of wider administrative and project teams.
